Accounting

In a communications agency, Accounting is the corporate function responsible for recording, analyzing, and reporting all financial transactions. It includes managing invoicing (to clients) and invoicing (to suppliers), controlling project costs, managing cash flow, and preparing financial statements. Its goal is to ensure the agency's financial health, profitability, and tax compliance.

2. What is it for / why is it important?

Accounting is the agency's financial nervous system. It's vital because:

  • Measure profitability : Understand which customers, projects, and services are most profitable.

  • Ensures liquidity : Ensures there are always sufficient funds to pay salaries, suppliers and taxes.

  • Supports strategic decisions : Provides management with accurate financial data to guide business decisions, such as investments or hiring.

  • Ensures compliance : Ensures that the agency operates in compliance with accounting and tax regulations, avoiding penalties.

3. When is it used / in what context is it useful?

Accounting is a continuous and transversal activity, but its processes are particularly evident in contexts such as:

  • Opening a job : When you define the budget for a project and open the cost centers.

  • Vendor Management : When negotiating, ordering, and paying for external services (e.g., production houses, photographers, printers).

  • Billing to the client : At the end of a project or on a periodic basis (e.g. for fee-based or retainer contracts).

  • Closing the budget : At the end of the year, to take stock of the agency's financial performance.

4. Practical example

An agency produces a television commercial for a client. The Account Manager manages the relationship and production. Meanwhile, the Accounting department handles:

  1. Record the quote accepted by the customer.

  2. Receive and record invoices from the production company, director, and music rights.

  3. Issue the final invoice to the client, including the agency fee.

  4. Monitor customer collections and arrange payments to all suppliers.

  5. Allocate all costs and revenues to that specific project to calculate its profit margin.

5. Extra insight

A common mistake is to think that accounting is simply "issuing invoices." In reality, a modern accounting department in an agency isn't just a mere executor, but a strategic partner. Through data analysis, it can highlight critical issues that are invisible to day-to-day operations, such as a client who, despite having a large turnover, has extremely low profitability due to constant requests for over-budget changes.
